WhatsApp integration · Messaging

Your customers are on WhatsApp. Your records should be too.

Indian businesses already run on WhatsApp — quotes, order confirmations, payment follow-ups, approvals. The problem is that none of it is recorded anywhere useful. We use the official WhatsApp Business Platform so messages are tied to customers, invoices and orders.

What it does

What the WhatsApp integration does

  • Sends template messages — payment reminders, order confirmations, dispatch updates — from your business number.
  • Logs customer replies against the relevant customer, quote or invoice.
  • Sends internal alerts and approval requests to owners and managers.
  • Captures inbound enquiries from WhatsApp into the CRM.

Workflows

What becomes possible

Example workflows businesses run once WhatsApp is connected. Each is configured to your process during implementation.

Payment reminder sequence

  1. 3 days before due: friendly reminder with invoice PDF
  2. On due date: reminder with payment details
  3. 15 days overdue: salesperson alerted to call
  4. Payment recorded: thank-you message; sequence stops

Quotation follow-up

  1. Quote sent on WhatsApp from template
  2. No reply in 3 days: follow-up task for salesperson
  3. Customer replies “OK, confirm”: order draft created for review

Owner approvals

  1. Discount above limit requested
  2. Owner receives approval request with customer history
  3. Approval recorded; salesperson notified

How it connects

Integration uses Meta's official WhatsApp Business Platform (Cloud API) on a phone number registered to your business. Unofficial automation of personal WhatsApp accounts is not used — it risks your number being banned.

Implementation considerations

  • Business-initiated messages must use templates approved by Meta, and recipients should have opted in to receive them.
  • Meta charges per-conversation or per-message fees, billed separately from our platform.
  • A number used on the WhatsApp Business Platform cannot simultaneously be used in the regular WhatsApp app in the same way; many businesses use a dedicated number for automated messages.
  • Free-form replies are possible within the customer service window after a customer messages you.

Exact scope, sync frequency and write-back permissions are confirmed for your setup during the business audit.

FAQ

WhatsApp integration FAQs

Can we keep using WhatsApp on our phones?

Yes. Staff can continue using WhatsApp as they do today. Automated messages are sent from a separate business number on the WhatsApp Business Platform.

Are there WhatsApp charges?

Yes. Meta charges for messages on the WhatsApp Business Platform based on its current pricing model. These are billed by Meta or its providers, not by us.

Will customers find reminders annoying?

Reminder frequency and tone are configurable per customer group, and reminders stop automatically once payment is recorded.
